A virtual receptionist answers the calls your office cannot: a remote live service, an AI receptionist, or the two together. This page explains what each does, how the market prices them, how they compare with a receptionist at the desk and what to check before you buy. Donya, the AI receptionist we run in Irvine, is one option.

01 The three models

What is a virtual receptionist?

Three different products are sold under one name. The right one depends on who calls you, when, and what they need done.

Virtual receptionist: A receptionist who answers your business calls from outside your office, either a person at a remote service working from your script, or an AI that holds the conversation itself, or both in sequence.

The word covers a remote answering team, an AI receptionist and a hybrid of the two. They sound similar in a sales call and behave very differently at seven in the evening when a new customer phones, which is why the comparison below is organised around what the caller gets and what your business gets back.

  • 01

    Live virtual receptionist service

A remote team of receptionists answers in your business name from a script you approve, takes messages, transfers calls during staffed hours and, on some plans, books appointments. You buy blocks of minutes or calls each month.

  • 02

    AI receptionist

Software that holds a natural conversation: it greets callers, answers your FAQs, qualifies, books into your real calendar, transfers to a person with the details already captured and writes a transcript after every call, on every line at once, at any hour. Donya is the AI receptionist Telxpress builds and runs.

  • 03

    Hybrid

The AI answers first and handles the routine calls; people take over for the callers who ask for a person or raise something outside the script, either your own front desk during the day or a live service after hours.

For the long version of how an AI receptionist changes a front desk, read AI receptionist vs human receptionist and the AI receptionist services comparison. The glossary defines the AI receptionist and the auto attendant it is often confused with.

02 Pricing

How much does a virtual receptionist cost?

Live services sell receptionist time. AI receptionists sell software time. The two are priced a world apart, and both are priced on volume.

Live virtual receptionist services charge for blocks of minutes or calls each month. As of November 2026, from the vendors' own public pricing pages: Ruby lists 50 receptionist minutes a month for $250 and 500 minutes for $1,725; Abby Connect lists 50 minutes for $164 and 500 minutes for $1,380, and counts a minute answered by its AI as half a minute; Smith.ai bills per call instead, from 30 calls a month for $300 with each extra call at $11.50.

AI receptionists cost a fraction of that because no person is on the line. Rosie lists 250 AI minutes a month for $49 and 2,000 minutes for $299; Goodcall charges by the number of callers, from $79 a month for 100 unique callers. Plans change often, so read these as the shape of the market rather than a quote, and check the current page before you budget.

Whatever the model, four things drive the bill: how many calls you receive, how long they run, how many arrive outside business hours, and how much the receptionist has to do on each one (take a message, qualify, book, transfer). A dental front desk that books and reschedules all day uses minutes very differently from a contractor who needs after-hours calls caught and dispatched.

The four ways virtual receptionists are priced, what each charges for, which offices it fits and what to check
Pricing model You pay for Fits Check before you sign
Per minute (live service) Receptionist talk time, bought in monthly blocks Offices with short, predictable calls Long intake calls use up the block; the overage rate; how partial minutes are rounded
Per call (live service) Each answered call, bought in monthly blocks Offices whose calls run long, where minutes would run away Wrong numbers and hang-ups may count; after-hours or holiday surcharges
Monthly plan with AI minutes A bundle of AI-answered minutes or callers, far cheaper per minute than a person High volume, after hours and overflow Bundles still cap; numbers, texting and integrations are often add-ons; who trains it
Quoted setup plus monthly service (Donya) The setup of your call flows and integrations, then a monthly service Offices that want the agent trained on their business and connected to their phones and calendar A written quote after a short discovery call; there is no self-serve price list

What a cheap virtual receptionist leaves out

The cheapest plan is cheap because it includes little: a small bundle, no booking, a script you cannot change, a shared operator reading your business name off a screen. Before buying on price, check three things: what a minute or a call costs once you pass the bundle, whether booking and transfers are included or sold as add-ons, and who changes the script when your hours or services change. Then price the plan at your real volume, after-hours calls included. The missed-call cost calculator shows what the calls you lose today are worth, which is the number any plan has to beat.

What Donya costs

Donya is quoted after a 15-minute discovery call, because the price depends on how many lines and call flows you need, which systems to integrate and your call volume. You get a written quote with setup, monthly service and what is included before any work starts. Most businesses start with one line and one call flow, measure calls answered and appointments booked, then expand. Book the discovery call, or start with the free AI readiness assessment.

03 Comparison

Live service, AI receptionist, hybrid or a receptionist at the desk: what does the caller get?

The same eight questions asked of each option. Most offices end up with two of the four working together.

Comparison of a live virtual receptionist service, an AI receptionist, a hybrid and an in-house receptionist
What matters Live service AI receptionist (Donya) Hybrid Receptionist at the desk
Availability Business hours on standard plans; 24/7 on higher plans Every call, 24 hours a day AI always on, people during staffed hours Office hours, one person
Several calls at once A hold queue when the center is busy All of them, no queue The AI absorbs the overflow One at a time
Knows your business What fits on the script Your FAQs, hours, services and tone, changed whenever you like Both Everything, including judgment
Books appointments On some plans, into the tools the service supports Into your calendar, with a confirmation to the caller Yes Yes
Hands a caller to your team Transfers during staffed hours Warm transfer with the caller's name and reason, at any hour Yes Walks over
Record of the call A message slip or an email Transcript, summary and a CRM entry Both Whatever gets written down
What you pay for Minutes or calls, monthly A monthly plan, or a quoted setup plus service Two bills Salary, benefits and cover for absence
Best for Callers who expect a person, and short calls Volume, after hours, booking and intake A front desk that needs cover without a second hire Visitors, relationships and judgment calls

04 Choosing

What does the best virtual receptionist look like for your office?

There is no best service, only the best fit. These eight checks decide it, whichever vendor you talk to.

  • 01

Answers in your name, in your words

The greeting, the vocabulary and the list of things it must never say are yours to approve. A caller should hear your business, not a generic assistant.

  • 02

    Sees the real calendar

Booking means checking live availability and writing the appointment into the scheduling tool you already use, not leaving a message that someone turns into a booking later.

  • 03

    Transfers into your phone system

A warm transfer to an extension on the system you have, so nobody repeats themselves and you do not juggle a second number. We install and support Yealink, Nextiva, Avaya, Yeastar and Polycom systems.

  • 04

Leaves a record you can use

A transcript, a short summary and an entry in your CRM after every call. An audio file somebody has to listen to is not a record.

  • 05

    Meets California consent rules

Recording or transcribing a call in California needs all-party consent, so the greeting has to say so, and an AI should say plainly that it is an AI. Our free notice generator writes those lines.

  • 06

    Treats evenings like mornings

After-hours and overflow calls get the same booking, routing and record as a call at ten in the morning, not a voicemail path.

  • 07

    Prices you can predict

You know what a minute or a call costs once you pass the bundle, which features are add-ons, and what a second line or location changes.

  • 08

    Someone tunes it

A named person reviews transcripts with you, changes scripts within days when your hours or services change, and owns the result. Ask who that is before you sign.

05 Receptionist or phone system

Do you need a virtual receptionist or a virtual phone system?

Two different products that solve the same worry: calls going unanswered while the team works from several places.

A cloud phone system (often sold as a virtual phone system or a virtual office phone) gives a small team business numbers, extensions on mobiles and laptops, voicemail to email and an auto attendant that plays a menu. It carries and routes calls. It does not hold a conversation, answer a question or book anything.

A virtual receptionist, live or AI, answers the call, talks with the caller and completes a task. Most offices need both: the phone system carries the calls, and the receptionist answers the ones nobody can pick up. We install the phone systems too, which is why Donya can answer on an extension of yours instead of a separate number, and why a business phone system project and a receptionist project can be one plan.

Warm transfer: The receptionist stays on the line, tells your team member who is calling and why, then connects the caller. It is the difference between a receptionist and a menu.

06 How we work

How does Telxpress set up a virtual receptionist?

You do not configure anything yourself. Our Irvine team runs the discovery, designs the call flows, connects the phones and tunes the result.

  1. Discovery call

A 15-minute call about your call volume, hours, the calls you miss and what callers need. We say honestly whether a live service, an AI receptionist or a hybrid fits.

  2. Design the call flows

What gets answered, booked, transferred or taken as a message, by time of day and by line, with the questions your front desk would ask.

  3. Connect your phones and tools

Donya answers on a line or extension of your phone system, or on a new number that forwards to it, and writes to your calendar and CRM. The California consent line goes into the greeting.

  4. Test, go live, tune

Your team calls with real scenarios, including difficult callers. We start with one line and one flow, review transcripts monthly and expand when the results hold.

Clinics, law firms and property managers each have their own intake and consent rules; the dental, law firm and property management pages cover what changes for them.

07 Questions

Questions buyers ask about virtual receptionists

What is a virtual receptionist?

A virtual receptionist answers your business calls from outside your office. It can be a remote team of people working from your script, an AI receptionist that holds a natural conversation and books appointments, or a hybrid where the AI answers first and people step in for the calls that need a person.

How much does a virtual receptionist cost per month?

Live services sell blocks of receptionist minutes or calls each month, and the bill climbs with call volume and call length. AI receptionists cost a fraction of that because no person is on the line, usually as a monthly plan with a bundle of minutes. Donya is quoted after a discovery call, with setup and monthly service in writing.

Is a cheap virtual receptionist worth it?

Only if the cheap plan includes what you actually need. Entry plans tend to leave out appointment booking, transfers and script changes, and they charge for every minute or call past a small bundle. Price the plan at your real call volume, including after-hours calls, and compare it with an AI receptionist at the same volume.

What is the difference between a virtual receptionist and an AI receptionist?

A virtual receptionist is any receptionist who is not in your building, usually a live remote service. An AI receptionist is software that answers the call itself, understands what the caller wants, books, transfers and writes a transcript. Many businesses now run a hybrid: the AI answers everything and people take the calls it hands over.

Can a virtual receptionist work with the phone system we already have?

Yes. Donya answers on a line or extension of your existing cloud or on-premises phone system, or on a new number that forwards to it, and transfers to your staff like any other extension. Live services usually give you a forwarding number instead. We install and support the phone systems too, so a change is one project, not two.

Do we have to tell callers in California that they are speaking to an AI?

Recording or transcribing a call in California requires all-party consent, so the greeting must say the call may be recorded. We also configure Donya to say plainly that it is an AI assistant: it builds trust with callers and keeps you clear of state and federal rules on artificial voices. The free notice generator on this site writes both lines.
