01 Overview

Telxpress helps dental practices and dental groups in Orange County answer every patient call, run appointment reminders that respect patient consent, and route after-hours emergencies to the right person. We advise on where an AI front desk agent fits, deploy it with HIPAA in mind, and install the phones, Wi-Fi, operatory displays and cabling the practice runs on.

Why do dental practices look at AI and new phones now?

A dental front desk checks patients in, takes payments, confirms insurance and answers the phone at the same time. When the phone loses, a new-patient call goes to voicemail and the caller books with the next practice on the search results.

AI handles the repeatable part of that load: recall and recare reminders, confirmations, directions and common questions, with a person one step away. We recommend starting with the calls the desk misses most, then expanding only where the results justify it.

Recall and recare: the routine of bringing patients back for hygiene visits and follow-up care on a schedule, usually by phone, text and email. The calls are repetitive, the volume rises in waves, and every one that goes unanswered or unreturned is a chair that sits empty. It is the first place we look for AI and phone-system gains in a dental practice.

02 Three AI use cases

What can AI do for a dental practice? Three use cases

  1. 01

AI front desk agent for overflow and after-hours calls

An AI voice agent answers when every line is busy or the office is closed, books and confirms appointments from your scheduler, collects callback details and the reason for the call, and sends a dental emergency to the on-call path you define. Staff arrive to a tidy list, not a full voicemail box.

  2. 02

    Recall, recare and reminder outreach

Hygiene recalls, recare follow-ups and appointment reminders go out by phone and text on the schedule you set, only to patients who have consented, with opt-outs honored immediately and every message kept short enough to respect patient privacy. Confirmations and reschedules flow back to the schedule.

  3. 03

Operatory displays and imaging on a dependable network

Intra-oral camera feeds, treatment-plan displays in the operatory and patient education screens in the waiting room are audio visual work, and digital imaging needs Wi-Fi and cabling built for large files. We design the rooms and the network together.

03 Compare your options

How do the options for a dental practice phone system compare?

A qualitative comparison. The right choice depends on your locations, your practice management software and how your dentists want emergencies to reach them.

04 Compliance considerations

Which compliance considerations do we design for in dental practices?

We are technologists, not lawyers. These are the considerations we design for when we plan dental practice systems; your compliance lead and counsel decide what your practice requires, and we give them the technical facts to decide with.

  • 01

    HIPAA and business associate agreements

HHS describes business associates as vendors engaged by a covered entity for services that involve the use or disclosure of protected health information, and lists a third-party chatbot on a patient portal that handles appointment scheduling and reminders among its examples. We shortlist AI and phone platforms that sign a BAA and document where patient data lives and for how long.

  • 02

Appointment reminder messages and patient privacy

HHS says the Privacy Rule does not prohibit leaving appointment messages on an answering machine, but a practice should limit what the message discloses, for example its name, number and what is needed to confirm the appointment, and accommodate reasonable requests to be contacted another way. We configure reminders to say that much and no more.

  • 03

TCPA consent for reminder calls and texts

FCC rules require a caller to obtain consent before an autodialed or prerecorded call or text to a wireless number, written consent for commercial texts, and an opt-out honored at any time in any reasonable manner; the FCC treats AI-generated voice calls the same way. We record consent, honor opt-outs automatically and keep the log. Confirm the policy with your attorney.

  • 04

    Call recording consent

California is treated as an all-party consent state for recording calls, so every recorded path carries a clear notice, including transfers and agent hand-offs, and recording can be turned off per line or scenario.

  • 05

Network segmentation for imaging and guest Wi-Fi

Digital radiography sensors, intra-oral cameras and the practice management server sit on their own segment behind a managed firewall, separate from guest Wi-Fi in the waiting room, cameras and personal devices, so a problem on one segment cannot reach patient records.

Considerations we design for, not legal advice or a certification. We document the technical setup so your compliance lead and counsel can decide what your organization requires.

05 What we install

What do we install for dental practices?

Every system below is designed for AI workloads, installed by our own Irvine technicians and covered by 24/7 support. Each links to the detailed service page.

  • 01

    Phone systems

Cloud phone systems with call queues, after-hours rules, on-call forwarding and texting, from Yealink, Nextiva, Avaya and Yeastar, ready to hand calls to an AI agent.

  • 02

    Networking

Fortinet firewalls, switching and Cisco Meraki or Ubiquiti Wi-Fi with separate segments for imaging, the practice server, staff devices and guests.

  • 03

    Audio visual

Operatory and consult-room displays for treatment plans and intra-oral camera views, waiting-room screens and a conference room for team meetings.

  • 04

    Connectivity

Business internet with a backup circuit so cloud practice software, phones and claims submissions stay up through a carrier outage.

  • 05

    Cabling

Structured cabling for new operatories, sensor and camera drops and office build-outs, scheduled around patient hours.

  • 06

    Surveillance

Hikvision cameras and access control for entrances, the front desk and records storage, with retention settings that match your policy.

06 Client results

What a multi-location front desk says about working with us

07 Questions

Questions dental practice owners ask us

Can an AI agent answer a dental office phone without breaking HIPAA?

It can be part of a compliant setup. We shortlist platforms that sign a business associate agreement, configure the agent to collect only what scheduling needs, set retention and access rules on recordings and transcripts, and document the data flow for your compliance lead. Your policies, training and the signed BAA complete the picture.

How do appointment reminders by text stay within the rules?

Reminders go only to patients who have given consent, which we record with the date and channel, and every message carries a simple way to opt out that takes effect immediately. The wording stays short, in line with HHS guidance on limiting what a reminder discloses. Your attorney confirms the consent language; we build the system to follow it.

What happens when a patient calls with an emergency after hours?

The agent asks the triage questions you define, such as swelling, bleeding or a knocked-out tooth, and routes a true emergency to the dentist on call by phone or text while taking a message for everything else. The on-call rotation lives in the phone system, so changing who is on call is a setting, not a service ticket.

Can one phone system cover several dental offices?

Yes. A cloud phone system gives every office the same routing rules, directory and reminder settings from one admin console, while each location keeps its local number. Calls can overflow between offices or to the AI agent at busy times, and the same agent can be trained on every office's hours, providers and services.

Do you handle the displays and Wi-Fi for digital imaging?

Yes. Operatory displays, intra-oral camera feeds and waiting-room screens are audio visual work we design and install, and digital sensors and imaging software need a network built for large files. We put imaging on its own wired or wireless segment, separate from guest Wi-Fi, and cable new operatories around your patient schedule.
