Conference Room AV Installation in Orange County

Meeting rooms, displays, video conferencing, digital signage and sound, designed to be AI-ready and installed and supported by our Irvine team.

  • Teams and Zoom rooms
  • Own installation technicians
  • 24/7 support

Telxpress designs, installs and supports conference room audio visual for Orange County businesses: displays and video walls, Microsoft Teams and Zoom rooms, auto-framing cameras, ceiling and table microphones, digital signage and room sound. Every room is planned so AI features such as live transcription and meeting summaries work from day one, with one local team for design, installation and support.

Audio visual is one of six business technology services we provide. Rooms depend on the network and cabling behind the wall, so we design those together.

What we install

What audio visual systems do we design and install?

From a single huddle room to a boardroom and a building full of signage. Every system is specified for daily use by people who are not AV technicians.

  • Conference rooms

Complete rooms from the display and camera to the table, wall or ceiling microphones, with one-touch join and cabling hidden in the furniture and walls.

  • Displays and video walls

Commercial displays rated for all-day use, mounted and powered properly, including multi-screen walls for lobbies, operations rooms and showrooms.

  • Video conferencing

Microsoft Teams Rooms and Zoom Rooms systems that sign in to your calendar, join with one touch and let visitors on the other platform connect too.

  • Digital signage

Lobby welcome screens, menu boards, wayfinding and break-room displays with media players, a scheduling platform and a clean, documented install.

  • Sound

Ceiling speakers, paging, background music and assistive listening, plus the acoustic fixes that stop a room from echoing on calls.

  • AI-enabled meeting rooms

Auto-framing cameras, microphone coverage for every seat, live transcription and summaries, and smart displays that show the notes while you meet.

Room sizes

What does a typical room need?

The components change with the size of the room and how it is used. These are the typical starting points we design from; the site survey adjusts them.

Typical components by room size
Room Typical use Display Camera Microphones and speakers Control
Huddle room Quick calls and small working sessions One wall-mounted display All-in-one video bar with built-in auto-framing Microphones and speaker inside the video bar Touch controller or wireless screen share
Mid-size meeting room Team meetings with remote attendees One large display, or two side by side for content plus faces Auto-framing camera above or below the display Table or ceiling microphones plus wall or ceiling speakers Touch controller with one-touch join and room scheduling panel
Boardroom Leadership meetings, client presentations, hybrid sessions Dual displays or a video wall Multiple cameras with speaker tracking Ceiling microphone arrays, dedicated processor, distributed speakers and acoustic treatment Touch control for lighting, shades, sources and calls

We install Microsoft Teams Rooms and Zoom Rooms systems from partners including Yealink and Polycom, and choose the model that fits the room rather than a fixed package.

Designed for AI

What makes a meeting room AI-ready?

AI meeting features are only as good as what the room captures. Six things we design in from the start.

AI-enabled meeting room: a meeting room whose microphones, camera, display and room system are specified so that platform AI features (live transcription, meeting summaries, speaker tracking and auto-framing) work reliably for everyone in the room and everyone joining remotely.

  • Microphones that hear every seat

Transcription and summaries are only as good as the audio. Ceiling arrays or well-placed table microphones give AI a clean signal from the whole room, not just the chair nearest the laptop.

  • A camera that frames the speaker

Auto-framing and speaker tracking keep remote attendees looking at faces, and give AI meeting features the view they expect.

  • A certified room system

A Teams Rooms or Zoom Rooms appliance signed in to your tenant runs the AI features natively, instead of a laptop with a webcam doing its best.

  • A wired, prioritized network drop

Video and voice traffic from the room gets a dedicated connection with quality-of-service rules, so the call does not compete with downloads.

  • A display for the notes

Transcripts, summaries and shared content need screen space. A second display or a larger single screen keeps faces and content both visible.

  • Lighting and acoustics

Even light on faces and surfaces that absorb echo cost little when planned early and make every AI feature noticeably better.

Design, install, support

How do design, installation and support work?

  1. Site survey

We measure the room, check sight lines, acoustics, power, network and furniture, and ask how the room is actually used.

  2. Design and quote

A room design naming each component, the platform (Teams or Zoom), the cabling path and a quote that explains every line.

  3. Install and commission

Our technicians mount, cable, configure and test the room, including a live call with a remote participant.

  4. Documentation and training

A one-page room guide, labeled connections and a short session so your team can run a meeting without calling us.

  5. Support

Remote monitoring where the platform allows it, a 24/7 line and local technicians when hands are needed.

Questions buyers ask about conference room AV

How much does a conference room AV installation cost?

It depends on room size, whether you need a certified Teams or Zoom room, and how much cabling and sound treatment the space needs. We quote after a site survey so the number reflects your room, not a template. Phased options are included when a boardroom and several huddle rooms are on the list.

Should we choose a Microsoft Teams Room or a Zoom Room?

Choose the platform your team already lives in. Teams Rooms suit organizations that run on Microsoft tools; Zoom Rooms suit teams that host most meetings on Zoom. Many room systems from Yealink and Polycom can run either, and we configure guest join so visitors on the other platform can still connect. We advise, you decide.

Can you upgrade our existing conference room instead of replacing it?

Often, yes. A good display and cabling can stay while we add an auto-framing camera, better microphones and a room system that signs in to Teams or Zoom. The site survey tells us what is worth keeping. When the old gear causes echo, dropped audio or constant troubleshooting, we recommend replacing it and explain why.

What does an AI-enabled meeting room actually do?

It captures the meeting well enough for AI to work with it. Microphones pick up every seat, the camera frames whoever is speaking, and the room system records, transcribes and summarizes through Teams or Zoom. Attendees leave with notes and action items, remote participants see faces instead of a wide empty table, and nothing is missed.

Do you install digital signage as well as meeting rooms?

Yes. We install lobby, hallway, showroom and break-room displays with the media players, mounts and cabling they need, and connect them to your signage platform or a simple scheduled playlist. Signage shares the same network and support agreement as your meeting rooms, so one call covers the whole building when something needs attention.
