01 In depth

What it is, why it matters and what to ask a vendor

UCaaS replaces the phone system in the closet with a service you log into. Desk phones, mobile apps and desktop apps all share one number and one directory, voicemail arrives as email or text, and meetings and chat live in the same tool. Providers such as Nextiva deliver it; Telxpress designs, installs and supports it.

For a growing business the appeal is flexibility: add a user in minutes, open a new location without new hardware, let staff work from anywhere and keep one bill. It is also the platform most AI voice agents connect to, because calls arrive as software, not as copper lines.

Ask a provider about call quality guarantees and how they depend on your internet and network, what the per-user price includes, how E911 location works for remote workers, how calls fail over when your internet drops, which CRMs integrate natively, and what the contract says about leaving. Ask who answers when a desk phone stops registering.
