# Phone Systems, AI and Technology *for Restaurants and Hospitality*

Phone orders and reservations taken even at the peak of service, card payments by phone handled within PCI DSS, guest Wi-Fi kept apart from the point of sale, and the music, menu boards and back-of-house cameras installed and supported by our Irvine team.

01 Overview

Telxpress helps restaurants, cafes, hotels and hospitality groups in Orange County answer the phone orders and reservations that peak hours push to voicemail. We advise on where an AI phone agent pays off first, deploy it with PCI DSS in mind when guests pay by phone, and install the phones, guest Wi-Fi, music, digital menu boards and cameras.

## Why do restaurants miss so many calls, and what changes with AI?

The phone rings hardest exactly when nobody can answer it: the host is seating a party, the bar is packed and the kitchen is calling tickets. A caller who gets voicemail orders from somewhere else, and a reservation that is never taken is a table that sits empty.

An AI phone agent takes the order or the reservation on the first ring, answers hours, location and menu questions from your approved content, and hands anything unusual to a person. Multi-location groups get the same experience at every address.

**Guest Wi-Fi segmentation:** keeping the network guests use on its own segment, separate from the point of sale, the kitchen display system, cameras and the office. A guest who connects in the dining room should never be able to reach the terminal that takes card payments. It is the first network decision we make in any restaurant or hotel, and it matters for PCI DSS scope as much as for security.

02 Three AI use cases

## What can AI do for a restaurant? *Three use cases*

1. 01
### Phone orders and reservations at peak hours
An AI voice agent answers every call during service, takes pickup orders and reservation requests from your menu and availability, confirms by text and sends the order to the kitchen or the booking to the host stand, so nobody has to choose between the guest in front of them and the phone.

2. 02
### Guest questions, every location, every hour
Hours, parking, dietary options, private dining, event inquiries and catering requests get consistent answers from your approved content, in each location's voice, with event and catering leads captured and routed to the manager who follows up.

3. 03
### Music, menu boards and cameras on one network
Zoned background music for the dining room, bar and patio, digital menu boards that update from one place, and back-of-house cameras over the line, the walk-in and the cash office, designed as one system with the network underneath it.

03 Compare your options

## How do the options for answering *restaurant calls compare?*

__Qualitative. Most operators keep staff on the phone when they can and let the agent cover the rush, the close and the next morning.__
| Consideration | Staff answer when free | Voicemail or auto-attendant | AI phone agent |
| ------------------------- | -------------------------- | --------------------------------- | --------------------------------------------------------------- |
| Answering during the rush | Depends on who is free | Callers leave messages or hang up | Every call answered on the first ring |
| Phone orders | Taken by hand | Not taken | Taken from your menu, sent to the kitchen, confirmed by text |
| Reservations | Written down when possible | Message only | Booked from your availability, confirmed by text |
| Card payments by phone | Staff hear card numbers | Not possible | Routed to a secure payment link; the agent never hears the card |
| Multi-location groups | Each location on its own | A greeting per location | One agent, trained on every location |
| Cost model | Staff time | Included with the phone system | Quoted after a short discovery call |

Qualitative. Most operators keep staff on the phone when they can and let the agent cover the rush, the close and the next morning.

04 Compliance considerations

## Which compliance considerations do we design for *in hospitality?*

We are technologists, not lawyers or auditors. These are the considerations we design for when we plan restaurant and hospitality systems; your payment processor, counsel and management decide what your business requires, and we give them the technical facts to decide with.

- 01
### PCI DSS scope for card payments
The PCI Security Standards Council says PCI DSS is intended for all entities that store, process or transmit cardholder data, and that whether a small merchant must validate compliance is decided by the payment brands. We keep card data away from the phone system, guest Wi-Fi and cameras so the point of sale stays the only system in scope, and we document the segmentation for your processor.

- 02
### Card numbers in call recordings
The Council's guidance on telephone-based payments says sensitive authentication data, such as the card security code, must not be stored after authorization even if encrypted, and recommends technologies that keep card data out of the recording. We route phone payments to a secure payment link or a PCI-validated pay-by-phone service, so neither the agent nor the recording ever hears the card.

- 03
### Call recording consent
California is treated as an all-party consent state for recording calls, so every recorded path carries a clear notice, including transfers and agent hand-offs, and recording can be turned off per line or scenario.
- 04
### Guest Wi-Fi segmentation
Guest Wi-Fi, the point of sale, kitchen displays, cameras and the office each get their own network segment behind a managed firewall, with guest traffic isolated from everything else. The segmentation is documented so your processor can see that guests cannot reach the payment environment.
- 05
### Music licensing for background music
ASCAP explains that playing recorded music in a business over speakers is a public performance, that buying a record does not authorize its public performance, and that music played to callers on hold counts too. We install the speakers, amplifiers and zones; the music source and its licensing are a decision for you and your counsel, and business music services exist for exactly this.

Considerations we design for, not legal advice or a certification. We document the technical setup so your compliance lead and counsel can decide what your organization requires.

07 Questions

## Questions restaurant and hospitality owners ask us

**Can an AI agent really take a phone order?**

Yes, from your menu and your rules. It reads back the order, applies the modifiers you allow, quotes the pickup time your kitchen sets and sends the ticket to the kitchen by the route you choose. Anything off-menu goes to a person. Payment happens through a secure link, never by reading a card to the agent.

**How do we take card payments over the phone without breaking PCI DSS?**

By keeping the card number out of the call. The agent, or your staff, sends the guest a secure payment link by text or routes the call to a PCI-validated pay-by-phone service, so the number never enters the phone system, a recording or a notepad. Your processor confirms the approach; we build the call flow to match it.

**Can one setup cover several locations?**

Yes. A cloud phone system gives every location its own local number with shared routing rules and one admin console, and one AI agent can be trained on each location's hours, menu and availability. Reports show orders, reservations and missed calls per location, and a new site is added in configuration, with desk phones only where you want them.

**Should guest Wi-Fi be on the same network as the point of sale?**

No. Guests get their own isolated network, and the point of sale, kitchen displays, cameras and office sit on separate segments behind a managed firewall. That keeps a guest device away from card data, keeps a camera or signage player from slowing down orders, and gives your processor a documented segmentation to review.

**Do you install background music and digital menu boards?**

Yes. We design zoned sound for the dining room, bar and patio with separate volume control, hang and cable digital menu boards that update from one screen, and add displays for a private dining room or sports bar. The music source and its public performance licensing are your decision; we wire the system to play whatever you choose.
