01 Overview

Telxpress helps law firms in Orange County answer every client call, capture intake after hours and record calls within California consent rules and your retention policy. We advise on where an AI intake agent fits a firm bound by confidentiality duties, deploy it with conflict checks ahead of booking, and install the phones, networks and deposition-ready conference rooms.

## Why do law firms lose intake calls, and what changes with AI?

A prospective client usually calls several firms and retains the first one that answers well. Calls arrive while attorneys are in court or depositions, the receptionist is on another line, and after the office closes the voicemail box does the talking.

An AI intake agent answers immediately, collects the facts the firm needs, screens for conflicts and books a consultation request, all without revealing anything about other clients. Attorneys review a clean intake summary instead of a string of messages.

**Conflict check:** the search a firm runs before taking on a matter to confirm that representing a new client would not conflict with a current or former client. When an AI agent books consultations, we design the flow so it gathers the names a conflict check needs and holds the booking as a request until the firm has cleared it, rather than confirming an engagement on its own.

02 Three AI use cases

## What can AI do for a law firm? *Three use cases*

1. 01
### After-hours and overflow intake
An AI voice agent answers when the receptionist is busy or the office is closed, captures the caller's name, contact details, the other parties involved and a short description of the matter, and routes urgent calls, such as an arrest or a filing deadline, to the attorney on call.
[How Donya answers and routes calls](https://telxpress.com/solutions/ai/voice-agent/)
2. 02
### Conflict checks before a consultation is booked
The agent gathers the names a conflict check needs, offers available consultation windows from your calendar and records the booking as a request. The firm clears the conflict check, then confirms. Nothing is promised to the caller before an attorney has approved it.

3. 03
### Deposition and remote-hearing rooms
Conference rooms with reliable audio, cameras and displays for depositions, remote hearings and client meetings, with recording that is deliberate and access that is controlled, so what happens in the room stays within the firm and the record you intend to keep.

03 Compare your options

## How do the ways a law firm can handle *intake calls compare?*

__Qualitative. Many firms keep a receptionist for office hours and let the agent take overflow, after-hours and first-touch calls.__
| Consideration | Receptionist only | Legal answering service | AI intake agent |
| ---------------------- | ------------------------------------ | ---------------------------------- | ---------------------------------------------------------------- |
| Coverage | Office hours, when free | Extended hours by contract | Every hour, every call |
| Intake detail captured | Varies by who answers | Script based | Your intake questions, every time, written up for review |
| Conflict screening | Manual, before booking | Rarely | Names collected, booking held until the firm clears it |
| Confidentiality | Firm staff under the firm's policies | Vendor contract and staff training | Vendor review, minimal data retained, no cross-client disclosure |
| Call recording | Phone system setting | Vendor's policy | Per-line setting with notice, retention you define |
| Cost model | Salary | Per minute or per call | Quoted after a short discovery call |

04 Compliance considerations

## Which compliance considerations do we design for *in law firms?*

We are technologists, not lawyers. These are the considerations we design for when we plan law firm systems; your managing partner, ethics counsel and IT lead decide what the firm requires, and we give them the technical facts to decide with.

- 01
### Client confidentiality (ABA Model Rule 1.6)
Model Rule 1.6(c) requires a lawyer to make reasonable efforts to prevent the inadvertent or unauthorized disclosure of, or unauthorized access to, information relating to the representation of a client. We build phone, AI and meeting systems so client information is encrypted in transit and at rest, access is limited to the firm, and no caller can learn anything about another client.

- 02
### Judging a technology vendor (ABA comment on Rule 1.6)
The ABA comment lists factors for judging reasonable efforts, including the sensitivity of the information, the likelihood of disclosure without added safeguards, and the cost and difficulty of those safeguards. We give the firm a plain data-flow and security summary for each AI or phone vendor so it can make that judgment on the record.

- 03
### California all-party consent for call recording
California Penal Code section 632 makes it an offense to record a confidential communication, including one by telephone, without the consent of all parties. We play a recording notice on every recorded path, including transfers and hand-offs to an AI agent, let the firm turn recording off per line or matter type, and set retention to the firm's policy. Confirm the notice wording with counsel.

- 04
### Call recording retention
A recording of a client call is part of the client file for as long as the firm keeps it. We configure where recordings and transcripts are stored, who can play them, how long they are kept and how they are exported or deleted, so retention follows the firm's file-retention policy rather than a vendor default.
- 05
### Secure rooms for depositions and remote hearings
Court and deposition platforms each have their own requirements, so we design rooms with wired connections, controlled recording, a separate guest network for visiting counsel and displays that cannot be seen from outside the room, and we test them with the platforms the firm uses.

Considerations we design for, not legal advice or a certification. We document the technical setup so your compliance lead and counsel can decide what your organization requires.

07 Questions

## Questions law firm leaders ask us

**Can an AI intake agent keep client information confidential?**

It is designed for that. The agent collects only what intake needs, stores it in the systems the firm controls, never references other callers or matters, and hands anything sensitive to a person. We document the data flow, hosting and retention for each vendor so the firm can judge whether its reasonable-efforts duty is met.

**Do we have to tell callers that a call is recorded in California?**

Treat it as yes. California requires the consent of all parties before a confidential communication, including a telephone call, is recorded, so we play a clear notice at the start of every recorded path and again after a transfer. Recording can be off by default and on only for the lines you choose. Confirm the wording with counsel.

**How does the agent handle conflict checks?**

It gathers the names a conflict check needs, including the other parties, offers consultation windows from your calendar and records the booking as a request rather than a confirmed engagement. The firm runs its conflict check, then confirms or declines. The caller is told that a confirmation will follow, and nothing is promised before then.

**Can our conference room handle remote depositions and court appearances?**

Yes, when it is built for them. We specify wired connections rather than Wi-Fi for the room system, ceiling or table microphones that pick up every speaker, cameras that frame the witness and counsel, and displays positioned for exhibits. Recording is controlled by the firm, and we test the room with the platforms you appear on.

**How long are call recordings kept?**

As long as your retention policy says. We set the storage location, access list, retention period and deletion method to match the firm's file-retention policy, and we show the firm how to export a recording to a matter file or place a hold on it when a matter requires it. Vendor defaults are never left in place.
