# Business Technology and AI Terms, *Defined in Plain English*

This glossary defines the AI, voice, phone, connectivity, network, audio visual and compliance terms that business owners and IT managers meet in quotes, contracts and planning meetings. Each entry gives a one-sentence definition you can quote, why the term matters to a growing business, what to ask a vendor, related terms and where it shows up at Telxpress.

- Audio visual
#### [Auto-framing camera](https://telxpress.com/glossary/auto-framing-camera/)
An auto-framing camera is a meeting-room camera that uses AI to detect the people present and zoom, pan and crop, so remote participants see faces clearly instead of a wide shot of an empty table.

### C

- Security & compliance
#### [Call recording consent](https://telxpress.com/glossary/call-recording-consent/)

### J

- Network
#### [Jitter](https://telxpress.com/glossary/jitter/)
Jitter is the variation in the time it takes voice or video packets to arrive; when it is high, a call sounds choppy or robotic because the receiving device cannot smooth the uneven stream.

### L

- AI
#### [Large language model](https://telxpress.com/glossary/large-language-model/)
A large language model (LLM) is an AI system trained on vast amounts of text that can follow instructions and generate fluent language; it powers chat assistants and the conversation in AI voice agents.
- Network
#### [Latency](https://telxpress.com/glossary/latency/)
Latency is the time a packet takes to travel from one end of a connection to the other; on a phone or video call, high latency makes people talk over each other and pause awkwardly.
- AI
#### [Lead qualification](https://telxpress.com/glossary/lead-qualification/)
Lead qualification is the process of asking a prospect enough questions to decide whether, how urgently and by whom they should be followed up, a task businesses increasingly give to AI voice agents.

### M

- Security & compliance
#### [MFA (multi-factor authentication)](https://telxpress.com/glossary/mfa/)
Multi-factor authentication (MFA) requires a second proof of identity beyond a password, such as a code from an app or a hardware key, and it defeats most attacks that rely on stolen passwords.

### N

- Phones
#### [Number porting](https://telxpress.com/glossary/number-porting/)
Number porting is the process of moving your existing phone numbers from one carrier or phone provider to another, so a change of phone system never means a change of the numbers your customers know.
- Security & compliance

A network video recorder (NVR) is the appliance or server that receives video from IP security cameras over the network, stores the recordings and lets authorized staff review, search and export footage.

### P

- Network
#### [Packet loss](https://telxpress.com/glossary/packet-loss/)
Packet loss is the share of packets that never reach their destination; on a voice or video call even a small amount causes dropped words, frozen video and a line that seems to cut out.
- Phones
#### [PBX](https://telxpress.com/glossary/pbx/)
A PBX (private branch exchange) is a business phone system that switches calls between internal extensions and the outside world; it can be a box on your premises or a hosted service in the cloud.

- Network
#### [PoE (Power over Ethernet)](https://telxpress.com/glossary/poe/)
Power over Ethernet (PoE) delivers power to devices such as phones, Wi-Fi access points, cameras and room controllers through the same network cable that carries their data, so no outlet is needed at the device.

### Q

- Network
#### [QoS (quality of service)](https://telxpress.com/glossary/qos/)
Quality of service (QoS) is the network configuration that identifies time-sensitive traffic such as voice and video and gives it priority over downloads and backups, so calls stay clear when the network is busy.

### R

- AI
#### [Retrieval-augmented generation](https://telxpress.com/glossary/retrieval-augmented-generation/)
Retrieval-augmented generation (RAG) is a technique in which an AI system first looks up relevant documents or records and then answers from them, so replies are grounded in your information rather than the model's memory.

### S

- Connectivity
#### [SD-WAN](https://telxpress.com/glossary/sd-wan/)
SD-WAN (software-defined wide area network) is a service that combines two or more internet connections at a site, steers each application over the best path and fails over automatically when one connection degrades.
- Phones
#### [SIP trunk](https://telxpress.com/glossary/sip-trunk/)
A SIP trunk is a virtual phone line delivered over the internet that connects your own phone system (an on-site or hosted PBX) to the public telephone network, replacing traditional analog or digital carrier lines.
- Voice
#### [Speech-to-text](https://telxpress.com/glossary/speech-to-text/)
Speech-to-text (STT) is the technology that converts spoken words into written text in real time; it is the first stage of an AI voice agent and the basis of call transcripts, captions and meeting notes.
- Network

- Network
#### [VLAN](https://telxpress.com/glossary/vlan/)
A VLAN (virtual local area network) splits one physical network into separate logical networks, so that phones, computers, guest Wi-Fi, cameras and building systems are kept apart for security and performance without separate cabling.
- Phones
#### [VoIP](https://telxpress.com/glossary/voip/)
VoIP (voice over internet protocol) carries phone calls as data over an internet or private IP network instead of traditional copper phone lines; cloud phone systems, UCaaS and SIP trunks are all built on it.

### W

- Voice

Workflow automation uses software rules and AI to run repeatable business steps automatically, such as logging a lead or sending a confirmation; CRM automation is the same idea applied inside your customer database.

02 How to use it

## Four ways to *use a definition*

Every entry follows the same shape, so a page you have read once is a page you can skim next time.

1. 01
### Quote the one-liner
The first sentence of every entry is the definition. Use it as written in a proposal, a policy or a training deck.
2. 02
### Read why it matters
The body explains what changes for a growing business when the term enters a quote or a contract.
3. 03
### Bring the questions
Each entry ends with what to ask a vendor. Ask them in the meeting and write down the answers.
4. 04
### Follow the links
Related terms and the Telxpress pages where the term shows up in practice, plus the public source text.

The definitions come from the work itself: the [AI advisory engagements](https://telxpress.com/ai-advisory/) where these words decide a roadmap, the [Donya voice agent](https://telxpress.com/solutions/ai/voice-agent/) that answers on them, and the [business technology](https://telxpress.com/solutions/business-technology/) we install and support in Orange County.

03 Questions

## Questions about the glossary

**Who writes these definitions and how often are they reviewed?**

The Telxpress advisory team writes them from the questions owners and IT managers ask during assessments and installations. Every entry shows the date it was last reviewed, and we update a term when a standard, a law or the way vendors use the word changes. Corrections are welcome by email to info@telxpress.com.

**Can I quote or reuse a definition?**

Yes. Quote the one-sentence definition freely in proposals, policies, training material and AI assistants, with a link or a mention of Telxpress as the source. The longer explanations may be summarized with attribution. We ask that you do not republish whole entries as your own work or change the wording of a quoted sentence.

**Are the legal and compliance entries legal advice?**

No. Entries such as TCPA, HIPAA business associate agreement, FTC Safeguards Rule, FERPA, GLBA, PCI DSS and call recording consent explain what each rule is and what to ask vendors, and they link to the public source text. They are definitions written by technology advisors, not attorneys. Confirm how a rule applies to your business with your own counsel.

**How did you choose which terms to include?**

We included the words that appear in the quotes, contracts and planning meetings our clients bring us: the AI vocabulary behind voice agents and automation, the phone and connectivity terms in carrier agreements, the network and cabling terms in installation proposals, the meeting-room terms in audio visual designs, and the compliance rules that apply to all of them.

**Where do I start if a term I need is missing?**

Email info@telxpress.com with the word and where you met it, and we will answer directly and consider adding an entry. If the question is really about your own plan rather than a definition, the free AI readiness assessment and a free 30-minute consultation are the quickest ways to get a specific answer.
